Cancellations

We understand that sometimes you have to cancel sessions if you have other appointments or if you or your child/loved one are sick. It is really important that you do not attend sessions face to face if you have any flu-like symptoms. We will try and provide an online session or reschedule the appointment in this instance.

We ask that you give us as much notice as possible. We do have to charge a cancellation fee if adequate notice is not given.

Please let your therapist know via text or phone or let our Practice Manager know as soon as you have to cancel.

 

If you are going to be away for more than 3 consecutive sessions, please let us know know.

If you would like to hold your appointment spot for when you return, you will need to discuss with your therapist how they can use half the sessions you are away for:

  • Report writing
  • Goal setting and re-writing the goals (updating clinical outcomes for the program – if applicable)
  • Researching and updating evidence-based methods for the music therapy program
  • Updating support plans, which outlines the updated goals, music therapy methods and how we will support you to meet outcomes.
  • Resources
  • Communication with stakeholders (schools, other allied health professionals etc)

 

Your therapist will work with you to personalise this.

For example, if you are away for 6 weeks, then we would work together to plan 3 of those sessions during this 6 week period where your therapist would work on pre-planned non contact time.

Alternatively, we will place you back on the wait list and reschedule appointments based on your therapist’s availability upon your return (note: your original appointment time may no longer be available)

Our cancellation fees are as follows, and these are also outlined in your Service Agreement:

 

48 hour’s notice is required for cancellations (2 business days, excluding weekends and public holidays), otherwise a fee of 100% will be charged. 

For mobile services, the time allocated to travel will also be charged if less than 48 hour’s notice is given 

Should your music therapist travel to an appointment and the client is not available, the kilometres will be also be charged

Two weeks’ notice is required to discontinue the agreement or close your music therapy program.
